Grant Staff Login Privileges

Genbook account holders can provide separate account logins to Staff Members and Office Managers. You maintain control of your Genbook account, while being able to designate specific access privileges to your staff, so they can update their schedules, clients, and other settings as you determine.

To set up a staff member's login and access, go to his/her Staff page in Settings, and click the Access Rights tab.


On the Access  Rights page, enter the staff member's email address in order to set up her login.


Then, choose what you allow her to see and, more importantly, edit in your Genbook account.

You have an array of options — from full viewing and editing privileges, down to the ability to only view and manage one's own appointments. Grant or restrict access to other staff members' calendars, client reviews, client credit card details and the Customers tab, as well as the ability to change one's own and the business' settings.

Once you save a staff member's access settings, Genbook sends her an email with a link allowing her to set up a password. TIP: If that initial password setup email is lost or doesn't reach your staff member, she can always go to the Genbook login page and click "Forgot password" in order to be sent a password reset email.

Here's what the Settings tab would look like for Cynthia, whose access is set up in the above example:


Cynthia is able to, edit her own settings. However, she has no viewing/editing privileges to anything else in the Settings tab and a "Restricted Access" message appears at the top right of her screen.

If, for instance, you choose to only allow a staff member to view and manage her appointments, but not view or edit her settings, she'll be able to view and move appointments within her calendar and Inbox, but unable to edit her Offline Mask, Away Dates or contact information.

If a staff member has no viewing or editing privileges to a certain tab (Customers, for example), she'll see following message after clicking on that tab:

Add and Move Appointments

We've improved the way you manually add new appointments and edit existing ones in the calendar. The updated appointment details form gives you more control over appointment lengths, dates and times, lets you easily choose a staff member and provides an alternative to the "drag and drop" method of moving appointments.


There are now drop down menus from which you can choose the staff member, date and time of an appointment, not just the service. Even better, you can actually make appointments longer or shorter than their services' allotted durations. Just choose the length from the menu beside the hourglass. Blocks can be extended this way, too — just click on the blocked time slot and edit only the length, then hit the Save button.


You can easily and quickly move the appointment to a different date using the newly added drop down calendar. The orange outline denotes today's date and the highlighted date is the one on which the appointment is currently set.
