The customer/client database (found in your Customers tab) is one of the most comprehensive and useful features of Genbook's online appointment scheduling tool. It automatically saves the client details of anyone who makes an appointment with your business, as well as any client you input manually.
In addition to the client's contact information, the Summary section contains a list of recent appointments and notes you've made (done by clicking "Notes" at the top right). You can also edit contact information, add a secondary email address and even store the client's date of birth by clicking "Edit details" or simply "Details" at the top right. Here's a hint: Clicking the vCard icon at the right (under "Appointments") allows you to download the client's details and then save the entry in an external address book.
It only gets better, because you can actually export your entire client list to a file on your computer! All you need to do is click "Export all customers as an XLS file" at the bottom of your list. Once you have that file you can, for example, import all of your Genbook clients into your email account. You can, of course, also do the opposite -- import contacts from your email account or a file on your computer into Genbook -- by clicking the "Import" button you see right next to "Add customer" ("Add customer" lets you manually add a new client/customer to the database).

Although I've been using Genbook for quite a few months, I just started really using the Customers Tab today! It has completely eliminated my need for paper files... I use the "notes" section for my SOAP notes from each appointment. And, the vcard download feature makes it easy to transfer client's info into Outlook and my Iphone!
I love the ability to download the customer list. I do it all the time to update my iPhone with my customer's information.
I would love to be able to download customer appointment details as well. Is it possible to retrieve their appointment times, last appointment, etc? This would be amazing - as it would greatly help market to my customers based on their treatment history.
Jeremy, I'm afraid it's not currently possible to download your appointments. What you can do, however, is copy and paste them into a spreadsheet. Here's how:
1. Place your mouse cursor in the Search field at the top of your screen and press "enter".
2. When the list of all your appointments populates, highlight them all and copy.
3. Paste them into a blank Excel or Google spreadsheet. The columns should remain intact.
I'm unable to export the contacts into an XLS.
Getting error code 87208596.csv
Please help.
I'm trying to send out the 'booknow invitation tool'.
Is there a better way to do it other than re-entering each of the addresses?
That sounds like a browser related error, generally seen in Internet Explorer. Please try using Google Chrome or Mozilla Firefox, as those types of issues haven't been reported with the import/export functions in either of those browsers.
You should be able to import a client list from a file on your computer or an email account, when using the Invitation Tool. However, I'm afraid you won't be able to import/transport them from the customer list you already have in Genbook.
Is there a way for my office staff to be warned that a client cannot schedule an appointment without prepaying a delinquent balance? I know I can add it in the "notes" section for the customer, but the booking staff won't see that when they are typing the customer's name into the calendar. i can also block the customer from scheduling an appointment online, but again, that wont stop my staff from booking the customer. Our old system had a way to flag these customers.
Aaron, there isn't a way to flag customers internally in Genbook. The only way would be to alter the contact information in the Customer record, to include some flag text. For instance, change customer Jane Doe's name to now be "Jane-DELINQUENT Doe". This way, when the staff member starts typing Jane Doe's name and her information auto-populates, they'll be able to see the flag.
how can i merge two customer details into one? ie stan smith booked a time then the same person used stanley smith the next appointment - thus creating two entries, but only one real person. don't see any obvious way to combine info
D, please contact our Customer Care Team (from the Support tab of your account) for detailed instructions on merging clients.
Can I import clients telephone numbers from gmail or from apple's address book?
Telephone numbers are not part of the import. Only names and email addresses get imported at this time.
Is there a way to combine customers for those who get married/name changes, etc? without manually transferring all the previous appt info?
Vivian, there is not a way to merge clients without changing details on the appointments that don't match the record you'd like to keep for a particular client.
